DocsDNA is a web application that assists individuals involved in creating or reviewing documents, such as contracts and agreements, by using AI to streamline their tasks and extract valuable insights efficiently and cost-effectively.
Project goals and challenges
Contract managers in various fields, such as real estate, supply chain, licensing, etc., spend a significant amount of time overseeing a large volume of documents to extract valuable insights.
DocsDNA decided to save contract managers' time by creating a web application powered by AI that helps them handle more documents cost-effectively, and quickly identify potential issues and discrepancies that could lead to financial losses.

Our task
To build a user-friendly web application that meets the needs of enterprise customers by creating an easy-to-use interface, adding AI features for automated document analysis, and making sure the application is scalable and performs well.
The app should include strong security and compliance features, support real-time collaboration and workflow management, and allow for customization to fit different client needs. By focusing on these goals, we aim to deliver a solution that helps contract managers work more efficiently, reduce risks, and save time.

MVP Development (2 months)
Focused on rapid development of a Minimum Viable Product to bring the core functionalities to market quickly. This included the essential document analysis and AI features to validate the concept.
Website Development (3 weeks)
Built a professional website to promote DocsDNA, ensuring a seamless user experience and effective integration with the app's backend.
Version 1.0 Development (3 months)
Expanded the application with enhanced features, focusing on scalability, performance optimization, and core AI functionalities.
Zoho CRM Integration (3 weeks)
Integrated the application and website with Zoho CRM to streamline client relationship management, enabling smooth data flow between the systems.
Version 2.0 Development & SOC2 Type 1 Certification (4 months)
Developed Version 2.0 of the application, introducing real-time collaboration tools and advanced AI capabilities. Simultaneously, we completed the SOC2 Type 1 certification, focusing on AWS server configurations and code enhancements to meet security and compliance standards.
Ongoing Support & Localization
Continuous support for DocsDNA, including localization efforts to adapt the app for different regions and languages, while ensuring ongoing performance optimization and feature enhancements.
Design
Our product designer conducted market and user research to create a clear structure for the entire application and each individual page. From scratch, designer developed a comprehensive design system and a unique visual language for the app’s interface, ensuring a cohesive and user-friendly experience across all features and platforms, with full responsiveness for all device sizes.
Key features
Handling large amount of docs
The core feature of the entire app is handling large amounts of documents efficiently. We developed a workspace where users can easily organize, view, and analyze big document collections.
To help users get started quickly, we added templates that demonstrate how to use the AI assistant effectively. Additionally, we introduced a sidebar where documents can be stored, allowing users to quickly see the full list of documents and open the ones they need with a single click.
One key feature is document summarization, which provides a brief overview of large documents, helping users quickly grasp the main content.
Since many users need to create formal documents, like reports, contracts, or letters, we also included a feature that generates documents automatically. These generated documents can be quickly attached to the next message or easily found in the chat list for future use.
Our solution simplifies document management, saving time and boosting productivity.
OCR capabilities
Integrated Optical Character Recognition (OCR) to handle scanned documents and extract text, which is then processed for insights. The OCR solution was designed to handle various document formats, from PDFs to images, ensuring that DocsDNA can process both digital and physical documents.
User management
Admin
This type of user not only works with documents in the chat but also manages other users, their subscriptions, documents, and tasks. Typically, these are managers, directors, or senior colleagues.
User
Regular users primarily focus on working with documents in the chat. They upload, organize, and analyze files, as well as collaborate with others. These users don't manage subscriptions or other users but are essential for day-to-day document handling and communication.
Account & Industry settings
Here, you'll find a familiar section where users can manage their personal information, account settings, subscription, and industry settings.
Industry settings allow users to specify the industry they work in. The AI adapts to this setting, providing context-specific responses for industries like HR, Legal, Sourcing, Real Estate, and more. The AI Assistant takes the chosen industry into account when analyzing documents and answering questions. Users can further personalize the AI Assistant by adding new industries tailored to their specific needs.
Transactions & Payments
These pages provide a comprehensive overview of all user-related financial information, including expenses, reports, balance, and payment history. Users can track their spending, review detailed reports, and monitor their account balance, whether in dollars or the platform’s internal currency. Additionally, users can access historical payment records and set up automatic payments for better budget management and planning. These features help ensure users have full control and transparency over their financial activities within the platform.
SOC2 Type 1 compliance
To ensure security and privacy, we implemented all necessary measures to comply with SOC2 Type 1 standards, focusing on data protection, availability, and confidentiality. This involved encrypted data transmission, multi-factor authentication, and continuous monitoring for potential security breaches
Results & What now?
DocsDNA has grown to 600 B2C users and secured over 20 enterprise contracts. The product is expanding into the South American market while continuing to thrive in USA. It has achieved SOC2 Type 1 certification, with automated testing and autoscaling processes fully established.
The DocsDNA team is now preparing for a Series A listing and SOC2 Type 2 certification, while also focusing on developing custom solutions for enterprise clients and a tool for batch processing hundreds and thousands of documents.
